When working in QuickBooks Online, one of the most underrated yet powerful tools at your disposal is the Search feature. Whether you’re looking for a specific transaction, invoice, vendor, or customer, mastering the search function can save you valuable time and reduce frustration.

Where to Find the Search Tool

The Search icon (magnifying glass) appears at the top middle portion of every QuickBooks Online screen. It’s your shortcut to nearly everything in QBO — from transactions and reports to lists and account details.

Simply click the magnifying glass, and you’ll see:

• A list of your recent transactions
• A Search bar where you can type any keyword, name, or number
• I personally like to click the magnifying icon and then click "Advanced transactions search for more results"

How to Use the Search Feature Effectively

Here are a few tips to make the most of this feature/functionality:

1. Search by amount – Type an exact dollar value (e.g., “125.00”) to locate all transactions for that amount.
2. Search by name – Enter a customer, vendor, or employee name to view related records.
3. Search by date – You can enter dates (e.g., “10/15/2025”) to quickly locate transactions from that day.
4. Search by transaction type – Try keywords like “invoice,” “payment,” or “check.”
5. Advanced Search – At the bottom of the search window, click “Advanced Search” for powerful filtering options by transaction type, date range, memo, and more.
